Terms of service
Effective September 22, 2026
These terms apply when a company ("you", the customer) uses HiringOps, the applicant tracking service operated by Tazo Tandilashvili, Tbilisi, Georgia ("HiringOps", "we", "us"). By creating a workspace or using HiringOps, you agree to them on behalf of your company.
1. The service
HiringOps lets your team publish jobs on a careers site, receive and manage applications, collaborate on candidates, schedule interviews, email candidates and send offers. We may add, change or remove features over time. If we remove a feature you rely on in a way that materially reduces the service, we'll tell you in advance.
2. Your account and your team
- You're responsible for the people you invite to your workspace and the roles you give them.
- Keep sign-in details confidential, and tell us promptly at support@hiringops.io if you think an account has been compromised.
- You must provide accurate information when you set up your workspace.
3. Your data
You own the data you and your candidates put into HiringOps. You give us permission to host, process and display it only to provide the service to you, as described in our privacy policy. For candidate personal data, you are the controller and we process it on your instructions.
You're responsible for having a lawful basis to collect and use candidate data, for giving candidates the notices your local law requires, and for responding to candidates' requests about their data. We'll help you do so where the service allows it.
4. Connected accounts
If you connect a Google or Microsoft account, HiringOps uses it only to send email and manage calendar events on your behalf, as described in our privacy policy. Your use of those accounts is also governed by the provider's own terms. You can disconnect them at any time from Settings, then Integrations.
5. Acceptable use
You agree not to:
- use HiringOps to discriminate unlawfully against candidates or to break employment, privacy or anti-spam laws;
- send unsolicited bulk email or messages unrelated to hiring;
- upload malware, or try to access another company's workspace or data;
- probe, overload or disrupt the service, or get around its security or usage limits;
- resell or give third parties access to HiringOps except as these terms allow.
We may suspend access that breaks these rules or puts the service or other customers at risk. Where we reasonably can, we'll tell you first and give you a chance to fix the problem.
6. Fees and billing
HiringOps is currently free during early access. We will agree any fees with you in writing before they apply, and nothing changes until you accept them.
Once your company is on a paid plan:
- Price and billing period. Your fees, and whether you are billed monthly or yearly, are set out in your order or invoice. You can choose either.
- Invoices. We invoice at the start of each billing period. Invoices are due within 14 days of the invoice date.
- Taxes. Fees do not include taxes. Where the law requires it, we add taxes such as VAT to the invoice.
- Late payment. If an invoice is more than 14 days overdue, we will remind you. If it is still unpaid 14 days after the reminder, we may suspend access until it is paid. Your data is not deleted during a suspension.
- Changing or cancelling. You can switch between monthly and yearly billing, or cancel. The change takes effect at the end of your current billing period.
- Refunds. Fees already paid are not refundable, except where the law requires it. If we end the service for any reason other than your breach of these terms, we refund the fees you paid for the unused part of the period.
- Price changes. We give at least 30 days' notice of a price change. It applies from your next billing period, so a yearly price stays fixed until renewal.
7. Availability and support
We work to keep HiringOps available and to fix problems quickly, but we don't guarantee it will be uninterrupted or error-free. We may carry out planned maintenance and will try to schedule it at quiet times. Support is available by email at support@hiringops.io.
8. Ending the service
You can stop using HiringOps at any time. On a paid plan, cancelling takes effect at the end of your current billing period. We may end these terms if you seriously breach them and don't fix the breach within 30 days of our notice. When the service ends, you can export your candidate data for 30 days, after which we delete your workspace data, except where the law requires us to keep it.
9. Confidentiality and security
We keep your data confidential and protect it with the measures described in our privacy policy. We'll notify you without undue delay if we become aware of a security incident that affects your data.
10. Disclaimers
Except as stated in these terms, HiringOps is provided "as is". To the extent the law allows, we disclaim implied warranties such as merchantability and fitness for a particular purpose. Hiring decisions are yours; HiringOps does not make them for you.
11. Limitation of liability
To the extent the law allows, neither party is liable for indirect or consequential losses, or for lost profits, revenue or data, and each party's total liability under these terms is limited to the amount you paid us in the 12 months before the claim. These limits don't apply where the law does not allow them to be limited.
12. Changes to these terms
We may update these terms. If a change is significant, we'll tell you at least 30 days before it takes effect. If you keep using HiringOps after that, the new terms apply.
13. Governing law
These terms are governed by the laws of Georgia, and the courts of Tbilisi have jurisdiction over any dispute, unless the law where you are based requires otherwise.
